Wedding Coordinating Packages

Month of/Day of Coordination

This package is perfect for the couple who wants to plan everything themselves but would like someone to finalize the details and be there on the wedding day to:

  • Provide advice, support, and suggestions regarding wedding questions and vendors
  • Create a general timeline for your bridal party and immediate families
  • Create a ceremony outline for your processional and recessional
  • Compose a detailed set of instructions with venue, bride, and groom
  • Arrange and organize any “surprises” that the bride or groom may have during the reception
  • Provide reserved cards for the ceremony and reception
  • Review all vendor contracts and expectations of vendors
  • Contact all vendors confirming arrival time and communicate venue’s procedures for unloading, setup, and tear down
  • Confirm all vendors’ orders and quantities on rental times along with delivery of orders
  • Handle any and all discrepancies and changes to invoices
  • Work with the officiant in coordinating the ceremony
  • Collect items, such as marriage license, guest book, favors, toasting flutes, and candles, for your event, both before and after
  • Coordinate shuttle times with out-of-town guests if needed
  • Coordinate any last-minute changes or arrivals of family or bridal party

Rehearsal Events

  • Direction and orchestration of wedding ceremony rehearsal with bridal party and families (up to 1-2 hours depending on the size of the wedding party and to include the seating of the parents)
  • Direction of ushers with seating and program
  • Reconfirmation of bar, room diagram, and last-minute changes in setup and menu with venue/caterer

Wedding Day Events

  • Onsite coordination, production, and management of your wedding (up to 12 hours) where an assistant coordinator will be provided on the day of the event (one assistant will be assigned to the bride after initial check-in by the head coordinator)
  • Guide the bride and bridesmaids to the designated room as guests begin to arrive
  • Provide coordination of bridal bouquets, corsages, and flower girl basket with bridal party prior to ceremony and for first look photos
  • Direct ushers with seating and program
  • Assist with the seating of guests at the ceremony, especially family and those with special needs
  • Cue musicians and any additional ceremonial vendors (e.g., doves)
  • Ensure proper setup of tables, chairs, room décor, table decorations, escort cards, sign-in table, candy bar, and photo booth
  • Manage banquet/catering staff regarding setup and compliance with floor plans
  • Work very closely with food and beverage staff to ensure prompt and professional service of food and beverage quantities; extend bar if necessary with the approval of client (bride, groom or parents)
  • Guide and cue vendors for reception activities
  • Guide and cue family for grand entrance and reception timeline
  • Work very closely with the DJ/MC on the timeline and especially with any last minute changes
  • Load all gifts in hotel room or car; secure all cards
  • Supervise and assist tear down and vendor cleanup
  • Coordinate with hotel to be sure the bridal suite is clean and ready
  • Coordinate shuttles for guests to return to hotel

Post Production

  • Meet with banquet captain/caterer to ensure all meals were delivered according to BEO, check if any additional requests were confirmed, and review if there are any discrepancies and follow up with supervisor in post-production
  • Be sure to gather any lost and found items to deliver to the family of the bride and groom
  • Distribute final vendor payments and gratuities

  • Last minute items that were not included in the itinerary OR master list of items given to coordinator pre-rehearsal

Service fees from $1000 and up (fee increases based on the size of wedding party and need of assistant coordinator). Fee includes up to 2 coordinators.

This package is perfect for the couple who wants to plan their wedding and ceremony but allows someone to help design, create and coordinate their special day from start to finish, should assistance be needed.

Specialized Service Items

  • Assist in designing and creating the theme, type, and style of wedding
  • Develop a detailed budget for client, track expenses, and advise on payments if needed
  • Manage all vendor contracts
  • Schedule appointments for client to meet with vendors if needed
  • Travel to and show prospective venues per request of client
  • Attend appointments with client in each area of wedding services if needed
  • Meet with client as needed for planning purposes outside of vendor appointments
  • Assist with tasting and menu selections if needed
  • Assist with the selection and wording of stationary for Save the Dates, Programs, and invitations if needed
  • Set up room blocks for the hotels
